Jobs and bookings handled
one message at a time.

If somebody in your business spends the day messaging customers or workers individually — confirming, chasing, re-confirming — the search for a fix turns up software. All of it monthly, all of it shaped around how its makers think you should work. That is one option. It is not the only one.

The job

What it looks like now.

The job is always the same shape. A request comes in. Somebody has to work out who can do it, tell them, wait, follow up with the ones who did not answer, and then confirm back to the customer.

It is not difficult work. It is just constant, and it has to happen while it is happening — which means one person is effectively pinned to a phone, and the business cannot grow past what that person can hold in their head.

The obvious fix is software. And there is plenty of it.

The actual choice

Rent it, or own it.

Search for a WhatsApp booking system and every result is a product with a monthly price. They are not bad products. But they are a decision about how your business works, made by someone who has never seen it, rented back to you forever.

Who decides how it works?

Monthly subscription

The vendor. You fit your process to their screens, or you pay for a tier that bends a little further.

A build you own

You do. It is built around the way the job already runs, including the parts that are specific to you.

What happens when you stop paying?

Monthly subscription

It stops. The data export is usually a CSV, and the workflow is not in it.

A build you own

Nothing. You own the code and it keeps running.

What does it cost in year three?

Monthly subscription

The same as year one, times thirty-six, plus whatever the price rises have been.

A build you own

Nothing beyond hosting and the services it uses, unless you ask for more built.

Does it join up with your other systems?

Monthly subscription

If they have an integration for it. If not, somebody re-types.

A build you own

That is usually the entire reason to build it.

How fast can you have it?

Monthly subscription

Today. This is the real advantage, and it is a genuine one.

A build you own

Two to six weeks, scoped and fixed-price before anything starts.

At £199 a month, a subscription has cost you more than a starter build (£300–£1,500) inside a year, and more than most custom builds (from £3,000) somewhere in year two. After that it keeps going, and at the end of it you own nothing.

When renting is the right answer

Rent it when the job is standard, you need it this week, and you are not sure the process will still look like this in six months. That is a real situation and the honest answer there is a subscription. Build it when the job has a shape that is specific to you, when it has to join up with things you already run, or when you have been paying a monthly fee for two years for something that still does not quite fit.

Proof it works

Someone already had this job.

Marmadbir had exactly this job: a coordinator messaging field workers one at a time to see who was free, then chasing the ones who had not replied. Jobs now broadcast themselves, the first worker to claim gets it race-safe, and payment settles without anyone reconciling anything.

Common questions

Answers before you ask.

Can you build on the official WhatsApp Business API?

Yes, and it is the only way we do it. Automating a personal or Business-app number gets it banned, usually at the worst possible moment. The official API costs a little per conversation and does not put your number at risk.

What does a WhatsApp booking system cost to build?

A single automation — messages going out and replies coming back into one system — is from £500. A full dispatch or booking flow with claiming, confirmations and payment is a custom build, from £3,000, fixed price agreed before we start. Both are one-off, and you own the result.

What stops two people claiming the same job?

The claim is race-safe: the first accept wins and the others are told immediately. This matters more than it sounds — it is the failure that costs you a customer, and it is the thing a group chat cannot prevent.

Do we have to move off the system we use now?

Usually not. Most of these builds sit alongside what you already run and talk to it, because the point is to stop somebody re-typing between the two.

How do we know what we actually need?

If you already know, ask for a quote and you will get a fixed number. If you are weighing up whether to build at all, the £1,500 Process Audit maps the job, prices what it is costing you now, and gives you a fixed quote — credited in full against the build if you go ahead.

Next step

Tell us the job. We'll tell you the number.

If you already know what you want built, describe it and you will get a fixed price. If you are weighing up whether it is worth building at all, the £1,500 Process Audit answers that in writing first — and is credited in full against the build if you go ahead.

Tell us about the job

You don't need a technical plan. Describe what your team does now and what you'd like to happen instead, in your own words. We reply within 24 hours.

A useful first message answers four things:

  1. What does someone on your team do by hand at the moment?
  2. Which software does it involve? Email, spreadsheets, your accounts package — whatever you use.
  3. What would you like to happen on its own instead?
  4. What should a person still check before it goes out?
